I am not even sure where to start with this one....we had a FORMER officer who was our CRA Officer, during his time here we had a CRA exam (May of 2004) which we scored well on. Well this officer left in Novemeber leaving the CRA position open until the "new guy" came aboard.

Now to the good part....we just finished with an internal exam (today) and the Main Office file (which we know was here in May) is gone, disappeared, no where to be found. In the write up from the internal auditor he said we recommend management find the CRA Public File...could this day get any worse.

In our exit meeting the Senior Loan Officer said it will be my responsiblity to recreate this folder so the CRA Officer will have it...I know nothing about CRA other than that each branch needs a file....from the list of items the auditor gave me that need to be in the file it doesn't appear to be much...any suggestions?????

Do you also have offices in other states? Perhaps you can use the files at some of your branches (same state and other state) to help you compile your new file. Some of the items in your Main Office file must also be in at least one office of each state, other than your home office state.

Is it possible that some of the work is on your computer system somewhere. If you have a network, your IT people should be able to help you get access to his files and your back ups, from a time before he left, may help.

(Did anyone pack up his office, maybe there are some boxes in the basement where this may have been sent.)

Your PE can be picked up from your regulator's web site.

Lastly, click on the Read a Reg at the top of this page, select BB, which is Community Reinvestment Act, and look at 228.43 for items required.

Look harder. Replacing those maps is a pain in the bumm. It should be an entire file cabinet drawer full of "stuff". In addition, you may have had public comments and sunshine agreements in that file that you can't recreate. I certainly wouldn't want my regulator to know I'd "lost" the entire public file, but if worst comes to worst, it's not all bad to call and discuss this with your examiner. Because you so recently have had an exam, they will still be able to tell you if there was anything in the file in regards to public comments and sunshine.

Honestly though, search the warehouse, any moved file cabinets, etc. The whole thing couldn't have been destroyed. It might have been moved for examiner ease during the exam, but it should be around somewhere.
